Set up your WhatsApp Business profile
A step-by-step guide for studio owners. Once your WhatsApp number is connected to Movra, this is how you make it look professional to your customers — your logo, business name, profile details, and links to your Facebook & Instagram.
Who this is for: studio owners (no technical knowledge needed). Where you'll do most of this: Meta's WhatsApp Manager (inside Meta Business Suite) — not inside the Movra app. Movra connects the number; Meta holds the profile settings.

Meta changes these screens often, so a button might sit in a slightly different place than described — look for the same wording nearby.
Before you start
When Movra connects your WhatsApp, Meta creates a WhatsApp Business Account (WABA) that holds your number. You then personalise it. Give yourself ~15 minutes and have ready:
- Your logo as a square image (see Step 2 for size).
- Your business details: address, website, a short description, opening hours.
- Access to your Facebook Page (and Instagram, if you have one).
- A card for billing (Step 1 — needed to send reminders/broadcasts).
Step 1 — Add a payment method (do this first — it's the easy-to-miss one)
A brand-new WhatsApp Business Account starts with no payment method. Until you add one, Meta shows an "Onboarding Error" and blocks business-initiated messages — that means reminders, follow-ups, and broadcasts your studio sends first won't go out. (Customers messaging you first still works fine.)
- Go to Meta Business Suite → Billing & payments → Payment methods (https://business.facebook.com/billing_hub/payment_methods).
- Choose the WhatsApp Business accounts tab and select your account.
- Click Add payment method → add a card → save.
- Give it a few minutes, then check that the payment method was accepted and your account shows Active / Completed (WhatsApp Manager → Partner overview / your account). If it stays in "Onboarding Error" after the card is added, contact Movra support — don't assume it cleared.
How WhatsApp charges (as of 2026): pricing is per delivered message and depends on the message type/category and the customer's country. As a rough guide: replying to a customer within 24 hours of their message (free-form service messages) is generally free, and there are some other free cases (certain utility messages sent in response to a customer, and qualifying ad/entry-point windows). Messages your studio sends first — marketing/reminders/broadcasts (WhatsApp "templates") — are generally charged per message. So the card must be on file for proactive messaging, and those sends can cost money — plan for it rather than assuming it's free. The rules have nuances and change, so check the current WhatsApp Business Platform pricing and your Movra plan for what applies to you.
Step 2 — Add your logo (profile picture)
This is the picture customers see at the top of the chat.
- In WhatsApp Manager, open Account tools → Phone numbers and click your number.
- Open the profile (sometimes shown as "Phone profile" / "Profile").
- Under Profile picture, click Choose file and upload your logo.
Image tips: use a square image (recommended 640 × 640 px, minimum 192 × 192). PNG or JPG. It's cropped to a circle, so keep your logo centred.
Step 3 — Set your display name
This is the business name shown in the chat (e.g. your studio's name).
- On the same phone profile screen, find Display name → Edit.
- Enter your business name and save.
About the "In review" tag: every display name is reviewed by Meta before it goes live. Review times vary (they depend on your account's onboarding state), so rather than expecting a fixed window, check the current status in WhatsApp Manager (the tag changes from "In review" to approved). During review, customers may see your number instead of the name — that's normal; it switches to the name once approved. If it seems stuck, contact Movra support.
To pass review, the name must genuinely reflect your business. Avoid: generic words only ("Dance", "Booking"), URLs, emojis-only, all-caps, or a name unrelated to your business. If it's rejected, edit it to be clearer and resubmit.
Step 4 — Fill in your business profile
Customers can tap your profile to see these details. In WhatsApp Manager (phone profile → business profile, or "See more settings"), fill in what applies:
- About / description — one or two lines about your studio (up to ~512 characters).
- Address — your studio address.
- Website — your site (you can add up to two).
- Email — a contact email.
- Category — pick the closest (e.g. Education, Fitness).
- Business hours — your opening times, if offered.
The more complete this is, the more trustworthy your chat looks.
Step 5 — Link your Facebook & Instagram
Linking lets customers message your WhatsApp straight from your Facebook Page and Instagram, and enables "Click-to-WhatsApp" ads later.
Facebook Page → WhatsApp:
- Open your Facebook Page → Settings (or Meta Business Suite → Inbox / Linked accounts).
- Find the WhatsApp section (often under Linked accounts or Messaging).
- Connect your WhatsApp number. Once linked, your Page can show a "Send WhatsApp message" button.
Instagram → WhatsApp: linking Instagram to your Facebook Page alone does not put a WhatsApp button on your Instagram profile — that's a separate step, and it's only available in some countries:
- First make sure your Instagram professional account is connected to a Facebook Page: Instagram app → Edit profile → Public business information → Page → Connect (or create).
- In the Instagram app, go to Edit profile → Contact options (under Public business information) → add your WhatsApp Business phone number and confirm the code sent to it.
- If you don't see a WhatsApp option there, it isn't available in your country yet.
If you don't see a WhatsApp option on your Page, confirm the Page and the WhatsApp account are in the same Meta Business portfolio (Business Suite → Settings → Accounts). Meta occasionally moves these controls — look under Linked accounts or Messaging.
Step 6 (optional) — Reserve a username
Usernames are a new WhatsApp feature rolling out gradually through 2026, so availability and the exact steps may differ for your account. When available, a username lets customers reach you with a short handle instead of your phone number — and once enabled it can hide your phone number from people contacting you for the first time.
- Businesses may be able to reserve a handle early from WhatsApp Manager (your account → Username → Create), if the option appears.
- The customer-facing username setting lives in the WhatsApp app under Settings → Account → Username.
Entirely optional — set it if/when the option shows up for you.
Step 7 (optional) — Apply for the blue check (Official Business Account)
An Official Business Account (OBA) shows a blue checkmark next to your name — a trust signal. It's not automatic and not guaranteed:
- Your business must be verified (Business Suite → Security Center → Business verification — free).
- Meta assesses notability (how well-known/established your business is).
- Apply from WhatsApp Manager → your account → look for Official Business Account and follow the prompts.
Plenty of studios operate perfectly well without the blue check — treat it as a nice-to-have, not a requirement.

Troubleshooting
"My reminders / broadcasts aren't sending."
Almost always Step 1 — no payment method on the account (error 141006).
Add a card and it resolves.
"My display name still shows my number." It's still in review (Step 3). Wait up to ~2 business days; it switches to the name once approved.
"A customer says I'm 'no longer on WhatsApp'." First confirm your number is actually live: in WhatsApp Manager → Phone numbers, its Status should read Connected, and a fresh chat (from a phone that never messaged you) should reach you.
- If that check passes → it's just a cache on the affected customer's phone, common right after a number is set up or moved (their phone remembers old details). Their app refreshes on its own (usually within a day); they can also delete the old chat and message you fresh. Not a real outage.
- If a fresh phone also fails, or Status isn't "Connected" → contact Movra support; that's a real issue to investigate.
"I can't find a setting described here." Meta rearranges these screens often. Use the search in WhatsApp Manager / Business Suite, or look for the same wording one menu over. If you're stuck, contact Movra support and we'll point you to it.
